1. Introduction and updates
Workforce is Mission Control for AI agent fleets. This policy applies to personal information we handle through our website and Platform. We may update this policy from time to time; when we do, we will post the revised version on this page and update the “Last updated” date. Material changes may be communicated by additional means where required by law.
2. Information we collect
We collect the following categories of information:
- Information you provide. Account details (such as name and email via Google sign-in), company and workspace details, missions, notes, agent records, fleet tokens you create, billing information if paid plans apply, and any information you share when you contact us or fill in a form.
- Information collected automatically. Technical and usage data such as IP address, device and browser type, approximate location, pages viewed, and interactions with the Platform, collected through cookies and similar technologies. Agent heartbeats and claim activity that you send through the fleet API are stored so we can show the board.
- Information about prospects. For business development, we may collect limited professional information (such as name, work email, and job title) from public sources and third-party providers.
Work that agents do on your own machines stays there unless you choose to send it to the Platform (for example as a mission note or status update).
3. Legal bases for processing
Where applicable law (such as the GDPR) requires a legal basis, we rely on one or more of the following: (a) performance of a contract with you; (b) steps taken at your request before entering a contract; (c) our legitimate interests in operating, securing, and improving the Platform; (d) compliance with legal obligations; and (e) your consent, for example for certain marketing communications, which you may withdraw at any time.
4. How we use information
We use personal information to:
- provide, maintain, and operate the Platform and your account;
- keep each company’s board, agents, and history isolated from other companies;
- process transactions and send related communications;
- provide customer support and respond to your requests;
- secure the Platform and detect, prevent, and investigate fraud and abuse;
- enforce our terms and comply with legal obligations;
- analyze usage and improve and develop our products and features; and
- send service and, where permitted, marketing communications.
5. How we share information
We do not sell your personal information. We share it only as needed:
- with service providers and vendors who process data on our behalf (such as hosting, authentication, analytics, payment, and support providers) under appropriate confidentiality and data-protection obligations;
- with our affiliates;
- with professional advisors such as auditors and lawyers;
- in connection with a corporate transaction such as a merger, acquisition, or sale of assets; and
- when required by law or to protect the rights, safety, and property of Vorx, our users, or others.
People in your company see the board data you put there. Fleet tokens you create act only for that company.
6. How we protect information
We maintain technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, and destruction, including encryption in transit, access controls, company-scoped queries, hashed fleet tokens, and monitoring. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.
7. Cookies and tracking technologies
We use cookies and similar technologies to enable core functionality.
Cookies that are strictly necessary to run the Platform — such as the Workforce session cookie that keeps you signed in — are set without asking, because the Platform cannot work without them. Google may also set cookies as part of sign-in, under Google’s own terms.
We do not currently set analytics or advertising cookies on the Workforce marketing site. If that changes, we will update this policy and, where required, ask before those cookies are stored.
8. International transfers
Vorx operates globally, and your information may be transferred to and processed in countries other than your own, including the United States. Where required, we implement appropriate safeguards (such as standard contractual clauses) for such transfers in accordance with applicable law.
9. Data retention
We retain personal information for as long as necessary to provide the Platform, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or anonymize it within a reasonable period, unless a longer retention period is required by law.
10. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. If you are in the EEA or UK, you also have the right to lodge a complaint with your local data protection authority; in Ireland, that is the Data Protection Commission (dataprotection.ie).
11. Children’s privacy
The Platform is not directed to children under 13 (or under 16 in the European Union), and we do not knowingly collect their personal information. If you believe a child has provided us with personal information, contact us and we will take appropriate steps to delete it.
